WHAT YOU’LL DO

The Billing Specialist is assigned a variety of duties to streamline and improve quality in the billing process and is considered a subject matter expert. The Billing Specialist works with internal and external customers to obtain the necessary information to execute the monthly billing process and improve customer satisfaction. The Billing Specialist will assume the responsibilities of the Billing Coordinators or Senior Billing Coordinators if they are out of the office and additionally, be responsible for billing change requests, regulatory research, and systems implementation activities. The Billing Specialist will also coordinate efforts with contract administration and maintain records accordingly. This position will assist with special projects, reporting and problem identification. The Billing Specialist plays an active role in ensuring that department goals are being met or exceeded.

PRIMARY RESPONSIBILITIES

  • Review and process Billing inquiries from both internal and external clients in a professional manner and within SLA.
  • Coordinate with Contract Administration to validate system information and maintenance on site activations, site cancels and site management change
  • Recommend and implement process improvements for department taking part in user testing and acceptance.
  • Review, research and process those invoices at billing close that require extra care and attention every month. Complete all additional close functions by due date.
  • Research, resolve and respond to questions from properties about the billing process and individual resident bills.
  • Perform quality control checks for multiple regions (to ensure accurate billing).

REQUIRED KNOWLEDGE/SKILLS/ABILITIES

  • High school diploma or equivalent required
  • Demonstrated experience with data analysis, problem solving and root cause analysis
  • Proficient knowledge of Excel required.
  • Excellent language and communication skills (written and verbal)
  • Excellent customer service skills and telephone etiquette required
  • Demonstrate patience and overall courteous behavior when working with internal and external customers
  • Proven ability to effectively communicate with internal and external management and work collaboratively with interdepartmental teams to achieve desired results; must be approachable
  • Strong organizational ability; must be able to handle multiple tasks simultaneously; detail orientated
  • Able to sit or stand for frequent periods in the same location with some opportunity to move about
  • Overtime is required during the "heavy" billing period each month; sufficient notice will be given.

PREFERRED KNOWLEDGE/SKILLS/ABILITIES

  • Prefer at least 9 months of experience as a Billing Coordinator and a minimum performance rating of 3.5.
  • Experience in the multi-family industry or bookkeeping is helpful
